{"id":6420,"date":"2011-05-23T08:00:26","date_gmt":"2011-05-23T12:00:26","guid":{"rendered":"http:\/\/mintools.com\/blog\/?p=6420"},"modified":"2026-07-26T10:54:27","modified_gmt":"2026-07-26T14:54:27","slug":"ministry-fairs-planning","status":"publish","type":"post","link":"https:\/\/mintools.com\/blog\/ministry-fairs-planning.htm","title":{"rendered":"Ministry Fairs: Planning &#8211; How to Plan Them"},"content":{"rendered":"<div style=\"padding-left: 25px; padding-right: 20px; padding-bottom: 22px;\"><img loading=\"lazy\" decoding=\"async\" class=\"alignleft wp-image-6386 size-full\" src=\"https:\/\/mintools.com\/blog\/wp-content\/uploads\/2011\/05\/ministry-fairs.jpg\" alt=\"Ministry Fairs\" width=\"150\" height=\"74\" \/>If you are going to do it &#8230; do it well.\u00a0 People need to see that serving in the church is something honorable and something about which\u00a0to get excited.\u00a0 Presentation communicates worth so do it well.<\/div>\n<p>A ministry fair doesn&#8217;t have to\u00a0be big.\u00a0\u00a0Just do\u00a0whatever you do, well.\u00a0\u00a0If you\u00a0only set up a table or two\u00a0then that table or two must well represent.<\/p>\n<h2>Elements Needed When Planning a Ministry Fair<\/h2>\n<p>Carefully consider the suggestions in the following elements of your planning efforts so you do whatever you do, well:<\/p>\n<p><em><strong>Planning Team:<\/strong><\/em><\/p>\n<ul>\n<li>Involve representatives from the various ministries, preferably ministry leaders.\u00a0 Their involvement will help bring coordination, ownership, and hence a greater cooperation.<\/li>\n<li>Assign responsibilities based on gifting and interests.<\/li>\n<\/ul>\n<p><em><strong>Planning Process:<\/strong><\/em><\/p>\n<ul>\n<li>Pray throughout the entire process.\u00a0 Consider recruiting a prayer team.\u00a0 As in anything you plan,\u00a0you must trust God from start to finish to guide and use it to His glory.<\/li>\n<li>After a time of prayer for God&#8217;s guidance, begin with a season of brainstorming regarding the theme of the ministry fair and then the various aspects of the fair.\u00a0 You do not have to be locked in to the way you have done it before or have seen others do it.\u00a0 Brainstorming ideas will help you get beyond tradition to what will work best for your current situation and people.<\/li>\n<li>After more prayer, evaluate the ideas in light of their feasibility and usefulness toward achieving your goals, staying open to God should He want to stretch you, and then choose the best approach.<\/li>\n<\/ul>\n<p><em><strong>Planning Calendar:<\/strong><\/em><\/p>\n<ul>\n<li>Strategically plan the date.\u00a0 Schedule it a year in advance to avoid conflicts with other church events.\u00a0 The\u00a0date of the fair\u00a0should benefit the recruitment process but provide sufficient time to recruit without putting pressure on people to make immediate decisions. Recruitment should be an on-going process and not a one shot effort.<\/li>\n<li>Strategically plan the time to have it on that date.\u00a0\u00a0Will you\u00a0piggyback on times people are already there?\u00a0 Will people come early, stay late, or can it be a part of the normally scheduled meeting\/program?<\/li>\n<li>Strategically plan what should precede the fair (i.e., teaching or preaching series).<\/li>\n<li>Strategically plan when to implement details and who will be responsible &#8230; a timeline for when tasks must be completed.<\/li>\n<\/ul>\n<p><em><strong>Planning Budget:<\/strong><\/em><\/p>\n<ul>\n<li>Talk with your church&#8217;s leadership to learn how much money can be designated for it.<\/li>\n<li>Brainstorm ideas for how to do the fair first and then allocate funds to the various expenses.\u00a0 Guard against boxing yourself in by funding.<\/li>\n<li>Look for alternative ways of securing funds or resources needed if the budget is not sufficient or non-existent.<\/li>\n<\/ul>\n<p><em><strong>Planning Agenda:<\/strong><\/em><\/p>\n<ul>\n<li>Pick a theme that will be used in promotion, decoration, on handouts, nametags, etc.\u00a0 &#8212; A theme is what will distinguish one fair from another and help build excitement for yet another ministry fair.<\/li>\n<li>Choose the best location based on the number of people expected to attend, how you need to set up, where people can easily be directed to it.\u00a0 Use maps, signage, and greeters\u00a0to guide people.<\/li>\n<li>Determine how to decorate to help build atmosphere but also provide logistical attention to flow.\u00a0 Decorations should be bright, cheery, and geared around\u00a0the theme.<\/li>\n<li>Decide if you will have refreshments and what they should be or\u00a0other fun events to peak interest\u00a0 (door prizes, games, etc.).<\/li>\n<li>Begin promotion of the ministry fair early enough, often enough, and in a variety of creative ways to build interest.<\/li>\n<li>Make sure ministry descriptions are up-to-date for all positions, or develop them if not currently available.<\/li>\n<li>Have a plan for how to help people know if their spiritual gifting fits a position. (class\/testing prior to or perhaps a means of testing at the fair and also a\u00a0means of\u00a0listing <a title=\"Spiritual Gifts Used in Different Ministries\" href=\"https:\/\/mintools.com\/ministries.htm\">spiritual gifts used to accomplish the various ministries<\/a>)<\/li>\n<li>Plan how to best facilitate people making connections.
